Terms and Conditions

Booking Process : 

Bookings are made in advance by completing the booking form. If a space is available, you will receive an email with payment instructions.

A place is only confirmed once payment has been received.

If a session is full, your child will be added to a waiting list and we will contact you if a space becomes available.

Payment Terms: 

All payments are made online via Stripe. We Make Art does not store any payment card details directly; all transactions are processed securely through Stripe in accordance with their privacy and data policies.

Term-Time Booking

Saturday classes are booked on a termly basis. This allows children to work on longer projects over several weeks and supports their artistic development.

Payment is required in advance for the full term to secure your child’s place.

If the term has already started, remaining sessions may be booked where spaces are available.

Trial sessions may be offered subject to availability.

Cancellation and Refund Policy: 

As places are limited and materials are prepared in advance, refunds cannot be offered for missed classes or workshops. However, in the unlikely event that a session needs to be cancelled by the provider due to illness or unforeseen circumstances, families will be notified as soon as possible and offered either a make-up session or a full refund

Minimum Bookings: Workshops require a minimum number of bookings in order to run. If a session does not receive sufficient bookings, We Make Art reserves the right to cancel the workshop. Families will be notified in advance and offered either a full refund or the option to transfer to another available session.

Photography and Media Use: 

We may take photographs of children’s artwork created during sessions for display and promotional purposes, including on our website and social media. These images will not include children or any identifying information.

From time to time, we may also take photographs or very short video clips (a few seconds) of children while they are making art. These images or clips will only be used for promotional purposes (e.g. website or social media) where parental consent has been given during the booking process. Children’s names will never be shared.

By agreeing to these Terms & Conditions, you acknowledge that photographs of artwork (without children visible) may be used as part of our normal practice.

Drop-off and Collection

Children will only be released to adults authorised by the parent/carer. If someone different will be collecting your child, please inform the provider in advance by text message or email. Please ensure children are not left unattended before the session begins.

Medical Needs:

We want every child to enjoy their class safely, so please let us know about any medical conditions, allergies, or health concerns when booking. Due to staffing limitations, we are unable to administer routine medication, so any regular medication should be given before the class.

If your child has medical needs that might require emergency medication, please get in touch with us before booking so we can talk through whether the class is suitable.

During the class, Aleksandra, who has pediatric first aid training, will provide care for minor injuries or illness. In the unlikely event of a serious medical emergency, emergency services will be contacted immediately and parents/carers informed immediately afterwards.

Additional Support Needs:

As a sole provider and activity leader, one-to-one or specialist support cannot currently be offered during sessions. If your child usually receives additional adult support in school, please get in touch before booking at hello@wemakeart.co.uk. While it may not be possible to provide the level of support some children require, the provider is happy to talk through your child’s needs and, where possible, suggest suitable alternatives or ways to get involved.

Illness

Children should not attend sessions if they are unwell or have a contagious illness. If a child becomes unwell during a session, parents/carers will be contacted and asked to collect them promptly.

Food and Drink:

For regular Saturday classes children may bring a water bottle. As these sessions are short, snacks are not needed.For longer sessions, such as half-term workshops, children may bring a healthy, nut-free snack and/or packed lunch.

Personal Belongings

Children are responsible for their personal belongings. We Make Art cannot accept responsibility for any lost, stolen, or damaged items brought to sessions.

Parental Responsibility: 

By booking a place, you confirm that you are the parent or legal guardian of the child and have the authority to make decisions on their behalf.

Behaviour Policy: 

We aim to provide a safe, calm, and creative environment for all children. The provider reserves the right, at their discretion, to end a booking or refuse future attendance if a child’s behaviour is persistently disruptive, unsafe, or negatively impacts the experience of others.In such cases, no refund will be given.

Safeguarding: 

All sessions are delivered by a qualified teacher with an enhanced DBS certificate and up-to-date safeguarding and child protection training. The provider is committed to offering a safe and supportive environment for all children and follows current statutory safeguarding guidance. Children are supervised during art sessions. We Make Art holds public liability insurance.

On the occasion that additional adults assist with sessions, they will have an up-to-date DBS check and current experience working with children in a school or educational setting.

Data Protection (UK GDPR): 

We Make Art complies with the UK General Data Protection Regulation (UK GDPR). Personal information collected (e.g. emergency contacts, medical notes) is used solely for safeguarding and operational purposes and is stored securely. Information is not shared with third parties unless legally required (e.g. in a safeguarding or legal emergency).

We use third party services including Squarespace (website and forms) and Stripe (payments) to operate our booking process. These providers process data on our behalf and maintain their own privacy and security policies.

Emergency Contact: 

Parents/carers must provide two valid emergency contact numbers and be available to collect their child early in the event of illness or emergency during a session.

Late Collection:

Please collect your child promptly at the end of the session. If you are running late, please contact us as soon as possible.

Persistent lateness may result in your child’s place being withdrawn.

If a child is not collected within 10 minutes, we will contact emergency contacts. If a child remains uncollected after 45 minutes and all attempts to contact parents/carers have failed, we may contact the Children & Families Contact Service.

Agreement

By completing payment, you confirm that you have read, understood, and agree to these Terms & Conditions.
