Terms and Conditions

Booking Process : Bookings must be made in advance by completing the booking form. If a space is available, you will receive an email with payment instructions. Your child’s place will only be confirmed once payment is received. If the class is full, you will be notified and your child will be added to the waiting list. We will contact you if a space becomes available

Payment Terms: All payments must be made online in full via Stripe to secure a child’s place. Bookings are confirmed only after successful payment. We Make Art does not store any payment card details; all transactions are processed securely through Stripe.

Term-Time Booking Blocks: All term-time classes are booked in half-termly blocks, aligned with the local school calendar.

Cancellation and Refund Policy: If your child cannot attend a session, refunds cannot be offered for missed classes. If a session is cancelled by the provider, a full refund will be issued via the original payment method.

Photography and Media Use: Photographs/short clips may be taken of children’s artwork and occasionally of children during sessions for promotional purposes (e.g., website, social media). During booking process,  you will be asked to provide consent for photography. Names will never be shared.

Collection : Children will only be released to adults listed on the authorised collection form. On your child’s first session, you will be asked to complete a form with emergency contact details and the names of all authorised collectors. Please ensure this information is accurate and kept up to date.If someone not listed above will collect your child, please inform the provider in advance by text message or email.

Medical Needs: Please inform the provider of any medical conditions, allergies, or health concerns at the time of booking. The provider is unable to administer any medication, including asthma inhalers or EpiPens. If your child requires medication during a session, a parent or carer must be present to administer it.

Aleksandra holds current Emergency Paediatric First Aid training. In the event of a medical emergency, emergency services will be contacted immediately and parents/carers will be informed as soon as possible.

Additional Support Needs: As a sole provider and activity leader, one-to-one or specialist support cannot currently be offered during sessions. If your child usually receives additional adult support in school, please get in touch before booking at hello@wemakeart.co.uk. While it may not be possible to provide the level of support some children require, the provider is happy to talk through your child’s needs and, where possible, suggest suitable alternatives or ways to get involved.

Food and Drink: Food is not permitted on the premises during regular sessions. Children may bring a water bottle. For longer sessions, such as half-term workshops, children may bring a healthy, nut-free snack. Water will be available.

Parental Responsibility: By booking a place, you confirm that you are the parent or legal guardian of the child and have the authority to make decisions on their behalf.

Behaviour Policy: The provider reserves the right to end a booking if a child’s behaviour is persistently disruptive or puts others at risk. In such cases, no refund will be given.

Safeguarding: All sessions are delivered by a qualified teacher with an enhanced DBS certificate and up-to-date safeguarding and child protection training. The provider is committed to offering a safe and supportive environment for all children and follows current statutory safeguarding guidance. Children are supervised during art sessions. We Make Art holds public liability insurance up to £5 million.

On the occasion that additional adults assist with sessions, they will have an up-to-date DBS check and current experience working with children in a school or educational setting.

Data Protection (UK GDPR): We Make Art complies with the UK General Data Protection Regulation (UK GDPR). Personal information collected (e.g. emergency contacts, medical notes) is used solely for safeguarding and operational purposes and is stored securely. Information is not shared with third parties unless legally required (e.g. in a safeguarding or legal emergency).

Emergency Contact: Parents/carers must provide two valid emergency contact numbers and be available to collect their child early in the event of illness or emergency during a session.

Late Collection: Please collect your child promptly at the end of the session. Occasional delays are understandable. If you're running late, please call or message as soon as possible. . Persistent lateness may result in your child’s place being withdrawn. If a child is not collected within 10 minutes of the session ending, the provider will contact all emergency contacts listed for that child. If the child remains uncollected after 45 minutes, and all attempts to contact parents/carers and emergency contacts have failed, the provider will contact Children & Families Contact Service.
